Event Hire Terms & Conditions

These terms apply to event bookings at Suite Four, Unit 4, 16–18 Harp St, Campsie NSW 2194. They form part of your hire agreement.
1. What event hire is
Event hire covers any booking involving guests, catering, drinks, decoration or a guest list — including launches, pop-ups, workshops, markets, parties, celebrations and dinners.
2. Booking and payment
A booking is confirmed when we've received your signed hire agreement, your deposit and your bond. Until all three are received, your date isn't held.
- Deposit: 50% of the hire fee, payable on booking
- Balance: due 14 days before your event
- Bond: $500, refundable
3. The bond
The bond is refundable and will be returned to you within 7 business days after your event, once we've inspected the space.
We may deduct from the bond for damage to the space, furniture, equipment or fittings; additional cleaning beyond normal use; rubbish left behind; time used beyond your booked hours; noise, curfew or building-rule breaches; or costs we incur because of your event.
If the cost exceeds the bond, we'll invoice you for the difference. We'll always show you what we're deducting and why.
4. Capacity
Maximum capacity is 80 seated and 120 standing. This is a safety limit and it is not negotiable. If your guest numbers exceed it we may stop the event, and your bond will be forfeited.
5. Your booked time
Your booking includes all set-up, event time and pack-down. If you need three hours to style the room, book them.
Additional time is charged at $250 per hour and is subject to availability and building rules.
6. Noise and curfew
Amplified music must stop by 11:00pm and the premises vacated by 11:30pm, in line with the building rules. This is not something we can extend on the night. Breaching curfew puts our lease at risk and will result in forfeiture of your bond.
7. Alcohol
Alcohol is strictly BYO. Suite Four does not supply, sell or serve alcohol under any circumstances.
You're responsible for the responsible service and consumption of alcohol at your event, including ensuring no alcohol is supplied to anyone under 18. We may stop the event if alcohol is being consumed irresponsibly or unlawfully, and your bond will be forfeited.
8. Catering
Catering is your responsibility — self-catered or through your own caterer. The kitchen area is small and suited to preparation and plating, not full cooking. Your caterer is responsible for removing all of their equipment, packaging and food waste.
9. Decorations, flames and effects
- No adhesives, nails, screws, tape or paint on walls, floors or ceilings
- No confetti, glitter, loose sand, rice or flower petals without prior approval
- Real-flame candles require our prior written approval and must be contained, supervised at all times, and extinguished before you leave
- Smoke machines, haze, sparklers, fireworks and pyrotechnics require prior written approval
- Helium balloons must be weighted and removed at the end
10. Ticketed and open-invite events
Ticketed events, public events and open-invite gatherings require our prior written approval. They will generally require professional security and an increased bond.
Booking a ticketed or open-invite event without disclosing it is a breach of these terms. We may cancel the booking without refund.
11. Insurance
You must hold public liability insurance covering your event and provide us with a certificate of currency at least 7 days before your event. If you don't hold cover, talk to us — one-day event policies are readily available and inexpensive.
12. Your responsibility for your guests
You are responsible for the conduct of everyone at your event, including guests, suppliers, caterers and contractors. You agree to indemnify us against any claim, loss or damage arising from your event, except to the extent it's caused by our negligence.
13. Security and supervision
A responsible person over 18 nominated by you must be present for the entire booking. We may require professional security at your cost for larger events, ticketed events, or where alcohol is a significant feature.
14. Children
Children must be supervised at all times. The space includes polished concrete floors, equipment and a mezzanine level — none of it is childproofed.
15. Cleaning and pack-down
Leave the space as you found it: rubbish removed, decorations taken down, our furniture returned to where it was. Normal cleaning is included; additional cleaning comes out of the bond.
16. Damage
You're responsible for damage to the space, furniture, equipment, fittings or the building caused by you, your guests or your suppliers.
17. Cancelling
Cancellation terms are set out in our Booking, Cancellation & Refund Policy.
18. If we have to cancel
If circumstances outside our control prevent us providing the space — fire, flood, power failure, building access, government direction — we'll offer you the first suitable alternative date or a full refund of everything you've paid, whichever you prefer. Our liability is limited to that refund.
19. Ending an event early
We may end an event immediately if there's a risk to safety, a breach of these terms, unlawful conduct, capacity or curfew breaches, or damage being caused. No refund is payable and the bond is forfeited. We won't do this lightly — we'll always try to sort it out with you first.
20. Photography
We may photograph or film the space for our own marketing. We'll tell you in advance and you can ask us not to photograph your guests. Just say the word.
21. Australian Consumer Law
Nothing in these terms excludes, restricts or modifies any right or remedy you have under the Australian Consumer Law.
22. Governing law
These terms are governed by the laws of New South Wales.
